Counselor Responsibilities
Club Inbound Counselor and/or Committee Responsibilities
  • Prepare calendar for student's year and present to the student, committee and President.
  • Write an intro letter (with list of resources about area) to student.
  • Meet with student first week and explain RI, District and Club rules and expectations.

    1. The 4 D's-No driving, drinking, drugs or serious dating.
    2. Must attend school. They are here on a student visa.
    3. No independent travel
    4. Host families must know where student is at all times
    5. Limited telephone, internet and SKYPE
    6. Review Rules and Conditions of Exchange from student's Y/E application
    7. Review consequences for disregarding the above.
    8. Explain counselor relationship/support system within Club and District.
    9. Explain Sex Harassment contact information.

  • Register student for classes (make appointment with school counselor and attend meeting.).
  • Upon student's arrival collect $300 emergency fund (give to club treasurer) as well as student's passport, visa and plane tickets and hold in safe place (accessible by 2 club members) for the year.
  • Check blue vaccination card student is supposed to bring with them all filled out.
  • Go over Club, District and High School Calendars.
  • Talk about the student's presentation to Club and schedule a date with Program Comm.
  • Buy calling card for long distance with overseas capability. (optional)
  • Purchase cell phone (for District area only) and issue cell # to Host families and Club Chair. (optional)
  • Meet regularly with student to find out how things are going - monthly at a minimum.
  • Sign student up for August raft trip and you plan to attend, if at all possible.
  • Make sure student is signing up for trips on time, has transportation to/from required District events, purchases graduation cap and gown etc. Remind student of required Quarterly Report. (See Club Calendar)
  • Encourage social interaction with Club and school members.
  • Encourage sports or other extra curricular activities.
  • Refer to District 5130 Inbound Student Counselor Handbook for other information.
  • Act as student advocate during year. Encourage student to work through issues on their own but be available for student and/or host families, as needed. If big issues arise, work with Club Y/E Committee Chair and District 5130 Inbound Student Coordinator (Craig Newman).
  • Confirm student is receiving monthly stipend.
  • Make monthly contact with Host parents.
  • Inform Inbound Coordinator (Craig Newman) each time student changes Host families.
